You don’t need months to plan a birthday party, although you can take a few if that works for you. (I tend to get excited and start planning WAY early.) But the average birthday party will be so much easier to plan if you start four weeks before party day. Following a week-by-week birthday party timeline means you only have to do a little each day — and who has time for much more than that?!

The Complete Birthday Party Timeline From Planning to Party Day - The Party Teacher

Following a birthday party timeline or plan gives you a starting point and guideline for what to do, when to do it, and how long it will take. You’re not left stressing or wondering if you’ll have enough time to finish preparing — it’s all laid out for you.

Here’s my complete birthday party timeline. You can follow it to avoid some of those party planning pitfalls.

Your Birthday Party Planning Timeline

The birthday party timeline that I’ve found works best spans across four weeks. Each week has different tasks to complete, with each day assigned to something different.

Try to complete each according to the timeline, but also find what works best for you and make adjustments accordingly. Just remember that some things are time-sensitive and should be completed as soon as possible.

So, for instance: you want to order custom cookies from an Etsy seller. You need to place that order as soon as you’ve figured out your party theme, style and date. Otherwise, you might miss the seller’s availability window.

Let’s break down your 4-week party planning timeline.

Week One

This week is dedicated to planning the essentials; your goal is to have all the information needed to put together your invitations and establish your theme. During week one, you’ll be:

  • Picking your theme
  • Establishing your budget
  • Picking your guest list
  • Picking your date and time
  • Picking your location
  • Brainstorming your party style and activities
  • Choosing and ordering invitations, printables, stamps, and envelopes

It’s important to pick your theme during the first week so it can guide your activities, decorations, and invitations. If you’re looking for theme inspiration, check out my done-for-you birthday party plans.

If you’re booking a party venue rather than hosting at home, KidsVenues (sponsored) covers more than 30 U.S. cities and shows what a package actually includes, like whether you get a private room, whether food is covered and how long you get, plus when each price was last checked. It’s a faster way to check out venues at the start than by contacting each one individually.

Week Two

This week might be my favorite; it’s the week you shop for and plan your dessert table! The first day of week two should be spent sending out invitations to ensure they’re delivered on time. During week two of party planning, you should:

  • Address and mail invitations
  • Print and trim any printables you have
  • Search Pinterest to fill in the blanks for your brainstorming
  • Choose and order party favors and packaging
  • Choose your menu
  • Shop Etsy for sweets, supplies, and decor; order a cake locally
  • Design your dessert table layout
  • Design your dessert table backdrop

If you’re struggling with designing your dessert table, download my free Dessert Table Cheat Sheets. Also, you don’t have to order your cakes and sweets! If you want to and have the capacity to bake your own, do it! And, of course, we love a dressed-up grocery store treat. (See my tips on adding sprinkles to almost anything here and here.)

Week Three

During week three, gather the rest of your supplies and start crafting party decorations. During week three, you should:

  • Design your dining table place settings and centerpieces
  • Run local errands, including craft supplies and serving pieces
  • Use Amazon Prime to order any missing elements
  • Arrange for local rentals or entertainers if needed
  • Crafting day (you may need two crafting days!)
  • Assemble favors in packaging

If you’re behind on sending out your invitations and didn’t get to it during week two, it’s okay! Send them out ASAP and potentially reach out to the people you know personally via text or phone to give them a verbal heads-up about the upcoming event.

Week Four

You’ve made it to the final week of party planning — time to celebrate, literally! This week is for:

  • Ironing tablecloths, napkins, or other fabrics
  • Cleaning up the party floor of your house
  • Assembling your backdrop structure and styling your dessert table
  • Setting your dining table
  • Grocery shopping
  • Buying and arranging flowers
  • Tackling any baking
  • Picking up cake and any local baked goods

The last day of this week is party day! On party day, you’ll set out your drinks and food and attach balloons to your mailbox. If you have rentals, assign someone else to pick them up to relieve some of the stress.

How to Stick to Your Party Planning Timeline

Don’t overthink it! Tackle a task per day, maybe two, and it will go by quicker — and easier — than you think. If you can’t do a task one day, add it to your to-do list for the next day and give yourself a little grace. Life can get busy unexpectedly, and you just do your best.
